1) Who we are

“Aussie Book Publisher” (“we”, “us”, “our”) provides book-publishing and creative services in Australia. This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

2) Scope

This policy applies to our websites (including aussiebookpublisher.com.au), enquiry forms, client portals, email and chat communications, and any other services where we collect personal information.

3) The information we collect

You provide:

  • Identity & contact: name/pen name, email, phone, address, billing details
  • Professional details: author bio, publishing goals, prior publications
  • Project content: manuscripts, images/artwork, synopses, editorial notes, metadata
  • Sales & support: enquiries, quotes, live-chat transcripts, feedback
  • Marketing preferences: newsletter opt-ins/opt-outs

Collected automatically:

  • Technical: IP address, device/browser type, pages viewed, timestamps
  • Cookies & similar tech: to run the site, remember preferences, measure performance, and (with consent) run analytics/retargeting. See Section 9. (Tracking technologies are handled under the Privacy Act and APPs.)

Sensitive information:

  • We generally don’t seek sensitive information (e.g., health, biometric, racial or religious data). Please avoid sending it unless we request it for a lawful purpose and you consent.

4) Why we collect and how we use information

We collect, hold, use and disclose personal information to:

  • Deliver services you request: editing, design, formatting, ISBN, distribution setup, project portals, support
  • Administer accounts & billing: quotes, contracts, invoicing, payment processing
  • Operate & secure our websites/portals: troubleshooting, fraud prevention, quality assurance, analytics
  • Market legally: send updates and offers (you can opt out anytime—see Section 8) in line with APP 7 and the Spam Act’s consent/unsubscribe rules
  • Meet legal/compliance obligations and handle disputes/complaints

5) Lawful basis

  • Contract (to provide your requested services)
  • Consent (e.g., optional marketing or analytics cookies)
  • Legitimate interests / reasonable expectations (to operate and improve services, balanced against privacy)
  • Legal obligations (responding to lawful requests, record-keeping)

6) Disclosure of information

We may disclose personal information to:

  • Service providers (processors) for hosting, email/CRM, analytics, payment gateways, e-signature, secure file transfer, print-on-demand—under confidentiality/processing terms
  • Distribution partners (as you direct): e.g., KDP, IngramSpark, or other platforms to publish/distribute your work
  • Professional advisers/insurers
  • Regulators/law enforcement where required

Overseas disclosures (APP 8). Some providers/partners may be outside Australia. We take reasonable steps so overseas recipients protect information to APP-equivalent standards; note the Privacy Act’s s 16C accountability principle for certain overseas disclosures

7) Security (APP 11)

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Measures include role-based access, encryption in transit, MFA for admin systems, least-privilege controls, staff confidentiality, and vendor due diligence. We also assess whether we’re permitted to retain personal information and destroy or de-identify it when no longer needed, where lawful.

8) Direct marketing & your choices

We send marketing only with consent, include clear sender identification, and provide a functional unsubscribe in every message. You can opt out at any time via the unsubscribe link or by contacting us. These are core requirements of the Spam Act 2003, enforced by ACMA. (Recent enforcement actions highlight the need to honour unsubscribes and maintain evidence of consent.)

9) Cookies, analytics & tracking

  • Essential cookies run our site and portal.
  • Analytics cookies (e.g., Google Analytics) help us understand usage and improve performance; you can use browser add-ons/settings to limit analytics.
  • Advertising/retargeting pixels (if we use them) operate only with your consent and may be turned off via our cookie banner or device settings. We’ll provide clear notice and controls on first visit and in this policy (APP 1 transparency).

10) Retention

We keep personal information only as long as needed for the purposes above, to meet legal/record-keeping requirements, and to resolve disputes—then we de-identify or securely delete it where lawful (APP 11).

11) Access & correction (APP 12–13)

You may request access to personal information we hold about you and request correction if it is inaccurate, out-of-date, incomplete, irrelevant or misleading. We’ll respond within a reasonable time and may need to verify your identity. If we refuse access or correction in limited cases allowed by law, we’ll provide written reasons and how to complain.

12) Anonymity & pseudonymity (APP 2)

Where practicable, you may interact with us anonymously or under a pseudonym (e.g., general browsing or initial enquiries). Certain services (publishing, payments, distribution) require accurate identification.

13) Children

Our services are intended for adults/professional authors. If we learn we’ve collected a child’s personal information without appropriate consent, we’ll delete it or obtain parental/guardian consent.

14) Data breaches (Notifiable Data Breaches scheme)

If a data breach is likely to cause serious harm, we will promptly assess and, where required, notify the OAIC and affected individuals, including recommended steps to reduce harm—consistent with the NDB scheme (generally assessed within 30 days).

15) Complaints

Please contact privacy@aussiebookpublisher.com.au first. We’ll respond within a reasonable time. If you’re not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) (oaic.gov.au).

16) Third-party links & tools

Our site may link to third-party sites or tools (e.g., payment gateways, distribution platforms). Their privacy practices are their own—review their policies before sharing information.

17) Changes to this policy

We may update this policy to reflect changes in law or our practices. We’ll post the new version with an updated “Effective date.” Material changes will be highlighted where feasible.
